Product Care Specialist | Thailand
About the role
The Product Care Specialist supports the Thailand Accommodation Team by managing and coordinating all special inbound requests related to familiarisation trips, FOC (Free of Charge), VIP requests and other hotel-specific projects. This role works closely with Inbound Teams and Contracting Managers to ensure the smooth execution of these exclusive projects. Additionally, the position may involve managing a portfolio of hotels for specific assignments as requested by the Thailand Accommodation Manager.
Responsibilities
Special requests management
- Serve as the communication point for special requests and specific projects, ensuring clarity and alignment across all involved parties;
- Collaborate with Inbound Teams to gather clear project requirements and timelines;
- Negotiate and confirm arrangements with hotels, ensuring expectations are met;
- Provide status updates to stakeholders, maintaining transparency and communication throughout the project lifecycle.
Collaboration with Contracting Managers
- Work closely with Contracting Managers to align on segmentation and ensure seamless coordination of requests within existing frameworks;
- Support the Contracting Team by leveraging existing hotel relationships for non-contractual project requirements;
- Communicate effectively between teams to align priorities and share insights for improved collaboration.
Hotel portfolio management (as per request)
- Manage, on request, a portfolio of hotels specifically required for exclusive inbound projects;
- Build and maintain strong relationships with these hotels, ensuring a high standard of service for all project-related requests;
- Assist in negotiating rates or terms with hotel partners as needed for inbound projects or exclusive requests;
- Monitor and evaluate the performance of portfolio hotels, addressing any challenges proactively;
- Support the Contracting Team in maintaining consistency and fostering collaboration across related departments;
- Contribute to identifying opportunities for improved contracting processes, efficiency and cost optimisation.
Project management
- Oversee the end-to-end process for each inbound request, from initial inquiry to final delivery;
- Track and document all requests, ensuring deadlines and deliveries are met;
- Identify and resolve bottlenecks, maintaining efficiency and high-quality execution.
Market insights and support
- Provide feedback to the Accommodation Team regarding market trends and insights gathered during project coordination;
- Suggest improvements in processes and approaches to better serve Inbound Teams and stakeholders.
Data analysis and reporting
- Collect and analyse data on inbound request outcomes, identifying patterns and areas for improvement;
- Provide regular reports to the Thailand Accommodation Manager, summarising key metrics and project performance.
Process improvement
- Assist in identifying and implementing process optimisations within the accommodation team to enhance efficiency and effectiveness.
Other responsibilities
- Undertake any additional tasks or projects assigned by the Thailand Accommodation Manager.
Qualifications
- Bachelor’s degree in hospitality management, Business Administration or a related field is a plus;
- Previous experience in project management role, with exposure to hotel contracting in the travel or hospitality sector, is a must;
- Strong communication, organisational and negotiation skills;
- Proficiency in data analysis and reporting tools;
- Ability to manage multiple projects and meet deadlines in a fast-paced environment;
- Fluency in English and Thai;
- Strong interpersonal skills;
- Detail-oriented with excellent organisational abilities;
- Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities;
- Strategic mindset with a focus on continuous improvement and data-driven decisions.
