Media Library Coordinator | Thailand / Myanmar
About the role
We are seeking an organised and proactive Media Library Coordinator to oversee and maintain the smooth operation of Asian Trails’ digital media. The successful candidate will be responsible for managing user accounts, providing essential support to users and ensuring the accurate uploading, updating and tagging of images within the system. This role requires a keen eye for detail and a strong commitment to ensuring all media files are appropriately categorised and easily accessible to our users.
Responsibilities
User Account Management
- Oversee the creation, modification, and deactivation of (internal and external) user accounts;
- Ensure user permissions are correctly assigned based on roles and requirements;
- Conduct regular audits to maintain account accuracy and compliance.
User Support
- Provide front-line support for users by answering queries, troubleshooting issues and resolving problems efficiently;
- Develop and maintain FAQs, guides and instructional materials to assist users;
- Ensure timely response to user concerns, escalating more complex issues when necessary.
Image Uploading & Updates
- Upload new media files to the system and ensure proper organisation within the library;
- Regularly update and remove outdated images, ensuring the system remains current and relevant;
- Verify that images are correctly formatted and meet system requirements before uploading.
Image Tagging & Storage
- Ensure all image sets are appropriately tagged with relevant metadata, including descriptions, keywords and categories;
- Maintain a consistent and logical file structure to support easy retrieval of images;
- Regularly review and update tags to improve search functionality and accessibility;
- Support units with help (when required) on building of collections, modifying metadata, tagging, etc.
System Maintenance
- Monitor the performance and functionality of the Media Library, reporting any technical issues to the external supplier;
- Collaborate with team members to suggest and implement improvements to system workflows;
- Ensure data integrity and system security through routine checks;
- Support any additional internal system integration (Lemax, eConnect, etc.) in coordination with other relevant stakeholders;
- Coordinate on system solutions with platform supplier when required.
Training & Documentation
- Provide training and guidance to users on how to navigate the media library system effectively;
- Create and maintain clear documentation on processes, procedures and best practices for system use.
Qualifications
Required Skills and Qualifications
- Previous experience in a media library or content management system environment is preferred;
- Strong organisational and time-management skills, with the ability to prioritise tasks effectively;
- Proficiency in Microsoft Office Suite, Asana (or other project management tools) and other relevant software tools;
- Excellent communication skills in English (both written and verbal), with a focus on user support and training;
- Attention to detail and accuracy, particularly when tagging and categorising media files;
- Basic understanding of image file formats and digital asset management practices;
- Ability to troubleshoot technical issues and collaborate with IT teams for system resolution;
- Proactive, adaptable and solution-oriented mindset.
Desirable Skills
- Experience with media library or digital asset management software (e.g., Getty Images, Canto, Widen, Adobe Experience Manager) preferred;
- Knowledge of metadata standards and image optimisation techniques;
- Familiarity with user access control and permission management.
