MICE Project Manager | Vietnam
About the role
This role involves overseeing the entire process of MICE (Meetings, Incentives, Conferences, and Exhibitions) requests, from initial inquiry to successful execution. The Project Manager will proactively identify new business opportunities and foster strong client relationships. Upon receiving a specific request, the MICE Project Manager will consult with the client, recommend suitable services and provide pricing. After confirmation, they will coordinate and manage the event or tour, ensuring smooth operation. Additionally, the role includes supporting business development, contributing to product innovation and striving for operational excellence at every stage.
Responsibilities
- Manage English-speaking MICE requests/projects;
- Set up innovative, original and creative programmes;
- Supervise itineraries and quotations of the staff in the market;
- Be in charge of the relations with tour operators overseas;
- Deal with the hotels and suppliers in Vietnam and establish good relationships;
- Welcome VIP clients;
- Accompany clients on inspection trips when required;
- Coordinate groups upon arrival in Vietnam and travel if required;
- Provide training/coaching to staff on products, client handling, operating skills of MICE group requests;
- Provide updates on MICE products via MICE newsletter to agents;
- Support the Indian team, Inbound team (if required);
- Create proposals and quotations;
- Input all MICE requests into ATV systems (Lemax);
- Follow up on internal and external emails and incoming requests;
- Follow up on outstanding group requests;
- Double check itineraries and quotations;
- Coordinate ongoing and new group requests with branch offices;
- Liaise with accounting department on incoming and outgoing payments;
- Coordinate with staff on outstanding issues and follow up on progress;
- Update incentives database;
- Create new programmes, formats and templates;
- Find new suppliers, new products for MICE;
- Create reports for MICE Manager.
Qualifications
- Minimum 3 years’ experience in travel or MICE industry;
- Excellent communication, interpersonal and team organisation skills;
- Excellent in project management and planning;
- Excellent negotiation skills and attention to details;
- Excellent in English (writing and speaking); other languages are a bonus (Spanish, Italian or German);
- Able to work independently and in a team environment;
- Proficient in Microsoft Office, Excel, Internet and other useful software;
- Enjoy high pressure working environment;
- Dynamic, independent, resourceful, mature and results-oriented.
