MICE Executive

Purpose of the role
    The challenging role inside the expanding MICE team in Ho Chi Minh City is to work towards offering an outstanding customer service including information, quotation, operation and administrative matters in regards to MICE related RFP’s. This function will be handling often complex quotations and ensuring that these are confirmed with all suppliers efficiently and with great accuracy.
Overall responsibilities
  • Assisting and supporting the MICE Department and other colleagues with preparing quotations, itineraries and reservations
  • Ensure a smooth communication and cooperation with incentive houses according to guidelines in replying time on all aspects of the customer’s travel needs
  • Negotiation of MICE services in line with the requirements from the customer
  • Appropriate follow-up practices, including upselling of additional services
  • All accounting procedures for confirmed files: this include managing account payable and account receivable for confirmed files with the accounting department
  • Research and development of new products, venues and MICE related services
  • Foster good relationship to hotels/suppliers
  • Updating backend information of venues, suppliers, accommodation and other services, related for the MICE industry
  • Preparation of pre-event inspection trips for project managers
  • On-the-spot logistical, operations and customer support
  • Work closely with colleagues from other departments and offices within the Asian Trails Vietnam head office
  • Other tasks as assigned by the head of the department and management
Qualifications, skills and requirements
  • University / bachelor degree in the hospitality and tourism industry
  • Minimum 3 years’ experience in a travel & tourism company – experience in a similar position is a prerequisite
  • Proficiency command of English – both verbally and in writing – is essential
  • Knowledge of Vietnam and its destinations is a must
  • Able to delegate, cooperate and coordinate with all concerned person and institutions within the travel industry.
  • Experience with backend travel software is an advantage
  • Excellent command of Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and excellent computing skills
  • The ideal candidate must be detailed-orientated, service-minded, some experience in negotiations and have a drive to deliver exceeding expectations
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak season. A "Can Do" attitude and positive thinking that includes creative thinking is an asset
  • This position is open for Vietnamese nationals and foreigners
